Operations & Executive Assistant

Our client is an established property business based in North West London and is seeking a proactive Operations & Executive Assistant to support one of the business owners.

This is a varied role that combines executive support with operational coordination. The successful candidate will become a key member of the business, helping to improve efficiency, coordinate projects and ensure day-to-day operations run smoothly. The role would suit someone who enjoys taking ownership, solving problems and working in a fast-paced environment.

Key Responsibilities

  • Manage the Director's diary, meetings and appointments.
  • Coordinate travel arrangements and itineraries.
  • Act as a gatekeeper, prioritising emails, calls and correspondence.
  • Monitor operational projects and ensure deadlines are met.
  • Follow up with internal staff and external suppliers on outstanding actions.
  • Prepare reports, presentations and business documents.
  • Assist with operational planning and implementation of new processes.
  • Organise meetings and record actions where required.
  • Coordinate suppliers, contractors and service providers.
  • Assist with office management and general business administration.
  • Support with invoice approvals and operational paperwork.
  • Handle confidential information with discretion.
  • Identify opportunities to improve efficiency across the business.
  • Undertake ad hoc projects and administrative tasks as required.

About You

  • Previous experience as an Executive Assistant, Personal Assistant or Operations Assistant.
  • Exceptionally organised with outstanding attention to detail.
  • Able to manage multiple priorities simultaneously.
  • Strong communication and relationship-building skills.
  • Confident working with senior stakeholders.
  • Proactive with a natural ability to solve problems.
  • Excellent IT skills, including Microsoft Office.
  • Able to work independently and use initiative.
  • Experience within property is beneficial but not essential.

Location: North West London (Office Based)

Hours: Monday to Friday, standard office hours

Salary: £32,000–£38,000 (depending on experience)
